Roles

The four roles in Willo, what each one can do, and how a role for the whole organization differs from a role on one business.

Everyone on a Willo business has one of four roles. Each role can do everything the one before it can, plus more.

The four roles

  • Viewer can look at everything and ask Willo questions, but changes nothing. Willo's chat is read-only for a viewer: it answers and looks things up, and won't edit, build, send or spend credits on their turn.
  • Editor does the day-to-day work: chats with Willo to make changes, publishes the draft, edits content and the site's text and brand, connects a custom domain, and adds and updates the business's secrets. No billing, no team, no payments.
  • Admin does everything except delete, transfer, or accept a transferred business: manages the team, billing and plans, connections such as Stripe and Shopify, revenue and customer data, agent tokens, GitHub code access, Agent Programs and the Growth Engine.
  • Owner is the person who created the organization. The owner can do everything, including transferring a business, deleting one, and accepting a business someone transfers to them. There is one owner, and the role can't be given to someone else.

The roles matrix lists each action and the role it needs.

The whole organization, or one business

You can be given a role in two ways:

  • Organization-wide. You can reach every business in the organization, now and in future, with that role.
  • On one business. You can reach only that business. You won't see the organization's other businesses.

If you have both, the higher one applies on that business. An admin of one business can manage that business, including its own team, but not the organization's team, plan or billing. Those, and creating new businesses, need an organization-wide admin.

Approval cards and roles

When Willo stops for approval, the card can be answered by the person whose request raised it, or by any admin or the owner. An editor answers their own cards; a viewer never raises one. See What stops for your approval.

Stopping a response in progress works the same way: you can always stop your own, and an admin can stop a teammate's.

Your own AI agents

An agent token belongs to the admin who created it and can never do more than that person can right now. If they're demoted or leave, the token's access shrinks or stops with them. See Agent tokens.

Changing someone's role

An admin or the owner changes roles on the team pages: Team & organization in the avatar menu for organization-wide roles, or Settings → Team inside a business for that business. The change applies at once, including to their next chat turn. See Invite a teammate.

The owner's role can't be changed, and the owner can't be removed.

Seeing what you can do

Settings pages your role can't use are hidden or say which role they need. A viewer sees a View-only label in the chat and a read-only notice in Settings. Ask an admin or the owner if you need more access.
