Consent and disconnecting

What you allow when you connect an account, who holds the access, how to disconnect, and what happens when access is withdrawn elsewhere.

Connecting an account is a grant you make on Google's or Microsoft's own screen, and you can take it back at any time, from Willo or from the provider.

What you allow

When you click Connect, the provider shows exactly what Willo is asking for. Willo asks only for what the connector's tools need:

  • Google Workspace: Calendar, Docs, Sheets, and Drive limited to files Willo creates or you pick. No Gmail access and no access to the rest of your Drive.
  • Microsoft 365: Outlook mail and Outlook calendar, on a work or school account.

If you untick part of it, the card says Connected — needs more access, and the tools that need the missing part don't work until you click Grant access.

Who holds the access

Willo connects through a dedicated token service that holds and refreshes the access. Willo never sees your password and stores no token itself. Each call Willo makes uses your business's grant.

The grant belongs to the business. The person who connected it doesn't need to be the one asking; anyone who can work on the business in chat uses the same connection. If that person later leaves the team, the connection keeps working, and the card asks an owner or admin to reconnect it with an account of their own.

Disconnect from Willo

  1. Open Settings → Connections.
  2. Click Disconnect on the card.
  3. Confirm with Disconnect. Keep connected cancels.

Willo withdraws the grant first, then marks the card Not connected. If the grant can't be withdrawn, nothing changes in Willo and you see an error, so you never end up with a card that says disconnected while the access still works. Disconnecting Google Workspace disconnects everything on that Google grant.

Disconnecting is always available, even for a business where connectors are no longer open.

You can connect again at any time.

Withdraw access from Google or Microsoft

You can also remove Willo from your account's own security settings (in Google, the third-party access list; in Microsoft, the apps with access to your account). Willo doesn't check in the background, so it notices the next time it tries to use the account:

  • the request does nothing and Willo says the account needs reconnecting;
  • the card on Connections shows Connected — reconnect needed or Needs attention, with Reconnect.

When a business is deleted

Deleting a business, or the whole organisation, withdraws its connected accounts' grants as part of the deletion.

What Willo keeps

Willo doesn't sync a copy of your calendar, mail or files. It reads the account when a request needs it, and what comes back is part of that chat conversation, like any other answer. Anything the chat writes from it, such as a summary document, stays in the business like the rest of its work.
